Establishing a foundation for successful collaboration
Building a foundational understanding of the business and its operational processes was a critical first step. Engaging in early discussions with key stakeholders helped clarify expectations for product outcomes and surfaced potential challenges. Recognising gaps in current workflows that didn’t account for design requirements, we proactively set clear expectations with all stakeholders, outlining the necessary conditions for effective collaboration and successful project execution.

To foster a deeper understanding of the design process, I transformed it into a visual representation that streamlined communication. This visual framework served as a guiding tool, promoting collaboration among designers, stakeholders, developers, and SMEs to achieve cohesive and functional outcomes with minimal post-delivery changes. This innovative approach signifies a paradigm shift in how individuals within the organisation engage with their work, enhancing overall effectiveness and alignment.

Gaining clarity through subject matter expertise
Understanding a problem can often be a significant challenge for stakeholders. Achieving Subject Matter Expertise (SME) across various domains is essential before proposing changes backed by accurate data. To ensure this, extensive information gathering was undertaken, involving an in-depth exploration of legacy platform development. This process navigated the complexities of the existing systems to facilitate seamless communication across all capabilities, ultimately delivering accurate data to users.
Accelerating stakeholder engagement through visual design
Diverging from traditional design processes, our approach prioritized the rapid presentation of designs to facilitate effective stakeholder engagement and prompt ideation. Given the technical complexity of the issues at hand, these visualizations allowed Subject Matter Experts to quickly pinpoint areas of concern, minimizing the need for extensive discussions and expediting processes.
To prevent a culture of premature solutions, we focused on utilising low-fidelity mockups during initial concept presentations, gradually transitioning to more refined high-fidelity models and user interfaces. This iterative approach ensured that feedback could shape the design process without rushing to finalise solutions.
Streamlining development through comprehensive documentation
We enhanced the development process by providing detailed documentation that supported the creation of a component library and addressed limitations presented by the existing toolkits. Our design decisions were guided by thorough analysis of user research data, usability test results, and performance metrics, ensuring our solutions remained user-centric while aligning with business strategy. We established clear KPIs to measure the redesign’s impact, focusing on improvements in user satisfaction, efficiency gains, error rate reductions, and overall productivity enhancements. This data-driven approach yielded measurable outcomes, providing concrete evidence of the ROI delivered by our UX improvements and demonstrating significant value to both users and the business.
Enhancing user workflows to improve productivity
In-depth analysis of user workflows revealed that data errors were significant barriers to productivity. Users needed tooling modifications that offered flexibility to accommodate errors, rather than merely preventing them.
To address this challenge, we prioritised the creation of flow-based user experiences. By guiding users through tasks with clear, logical sequences, we minimised the likelihood of data input errors and enhanced overall efficiency. This approach not only bolstered user confidence but also reduced training time and support requirements, exceeding our KPIs for speed and efficiency.
Optimising handoff processes
One of our primary KPIs was to enhance the sign-off process, ensuring that no additional stakeholder improvements would be requested after global acceptance. Achieving this successful sign-off not only facilitated a smooth transition but also empowered a confident handoff to the development team, enabling them to execute the project with minimal obstacles.
